Frequently Asked Questions & Photo Tips

General Questions

We accept all forms of credit card, debit card, ACH bank transfers and checks.  Invoices will be emailed to you when the order ships and can be paid online thru our secure portal.  We also accept purchase orders for government entities, safety services and any other organization that uses them. 

There are NO minimum order requirements although there are discounts available based on volume. See our Price Page for more details. The only fee is a $24.95 Design/Set Up fee that is charged only once when we design your card and set up your account. There are no hidden fees like a hole punch fee and there is no limit to the number of changes you can make to your design.

After the design is approved and the photos and data are submitted to us, it usually takes 1-2 business days to ship.  The turn-around time depends on the size of the order and the method of submission.  View our Photo Tips to find out how to expedite the process. 

Simply speaking, money and time. A specialized, quality, ID printer with badge software costs from $3,000 to $10,000 not to mention the time it takes to master the software and hardware. Our process is simple, cost effective and professional since we specialize in meeting the needs of organizations of all sizes.

The whole process is simple.  Send us an email or give us a call to get started on your design.  We will send you proofs via email for you to review.  Let us know of any changes you’d like to make, as MANY TIMES as you’d like, until we get your design just right.  In the meantime, gather all photos and data needed for the cards.  Once you have approved the design, submit them to us and we will go to print.  For more helpful information, view our Getting Started Page

Take your photos from the chest area up. We will crop them accordingly. Check out our Photo Tips form more information on backgrounds and file size.

Take a plain, unlined, white piece of paper and sign your name in heavy, black ink or permanent marker. Just sign your name as you normally do, not too big or small. We will adjust it to the correct size. Email it to us and we’ll embed it into your design.

We save your designs and all cards produced to your database, so replacements are as easy as sending us an email and telling us whose card needs replaced. New employees are simple too.  Just email us their photo and personal information to populate the card.  We’ll print, ship and add that new information to your database.

The cards are made of PVC plastic and are the exact size and thickness of a credit card.

Yes, we certainly do! We have a variety of fasteners like vinyl clips, lanyards, retractable badge reels, magnets and other accessories to use with your new ID badge. See our Products page for more info.

You have several options for submitting photos. You can email them to us at sales@photoidbadges.com or send them to us via Google Drive or our FTP site. Both options work best for larger files. Please contact us to get set up or click here to access our File Sharing Request Form. We prefer that photos not be embedded in emails or spreadsheets since they may not print sharp. Photos taken from the upper chest to above the head work best. Selfies are fine too. Do not zoom in too closely, we will crop the photo to the size necessary. Please do not take full length photos as the quality will be poor once they are cropped to the appropriate size.

Photo Requirements & Tips

Please be advised that the background that is present when you take the photo is what will appear on the ID cards/badges. We do not change the background of photos since it is a time-consuming process. Please submit your photos with the background that you would like printed.

The United States flag offers an official look for government ID cards and ID badges. Hang an opened flag horizontally and have your subject stand in front of the flag with his/her head centered where the blue background of the stars meets the stripes. We can add clipart of flags to the ID itself at no additional charge, but the flag will not appear in the photo.

For all others, the plainer the background the better. A plain wall or door is fine or a felt type fabric, approximately 3 feet by 3 feet, works well too. Backgrounds to avoid include shiny material, paneling, brick, cement block, etc.

Photos should be in the 30 KB to 100 KB range and saved in a .jpg format. Photos below 30 KB will be of poor quality when printed.

To expedite your order, please rename the files to the person’s name (Ex. Jane Smith.jpg). If you are unable to rename the files, provide us with a list of each employee and their corresponding photo number (Ex. Jane Smith is Photo 1). We prefer photo files to be renamed to avoid any printing errors.

Digital photo files are preferred. We can scan actual photos however there is a $2.00 surcharge for each photo to be scanned.
